Winona is a leading telemedicine company that provides hormone replacement therapy (HRT) for women in menopause. The company has built all of its technology in house, including an EHR, a patient care admin system, a patient portal, its website, and marketing technology. Winona operates two compounding pharmacies and works with a team of in house physicians to deliver world class care through a fully vertically integrated business model.
About the Role
Winona is seeking a highly organized and proactive Communications Virtual Assistant to support outreach and partnership activities. This role is ideal for a detail oriented multitasker with strong administrative skills, exceptional interpersonal skills, and a talent for coordination, research, and documentation. You will manage contact lists, coordinate outreach, track responses, and support campaign execution. Your meticulous documentation will ensure clear visibility across internal teams.
Seniority Level: Junior to Mid Level
Key Responsibilities
- Support communication and partnership initiatives by managing contact lists, logging outreach activity, tracking responses, and maintaining organized records.
- Coordinate email outreach and follow ups for partnerships, sponsorships, and campaigns.
- Coordinate internal schedules related to event preparation and fulfillment.
- Assist in scheduling meetings, preparing internal documents, and supporting contract fulfillment and tracking.
- Collaborate with content, community, and social media teams to ensure consistent messaging across platforms.
- Conduct research on partnership, sponsorship, podcast, and event opportunities within the women's health space.
- Prepare and update weekly and monthly performance reports summarizing outreach and campaign impact.
- Monitor and respond to inquiries from shared inboxes, ensuring timely follow up and accurate documentation.
- Support both virtual and in person event coordination and handle associated media logistics.
- Help maintain internal calendars, content schedules, and communications systems.
- Learn cross team processes to streamline internal communication and projects.
Qualifications
- 3+ years of experience in communications, partnerships, marketing, or administrative support roles.
- Strong organizational and time management skills, with the ability to manage multiple tasks, maintain detailed records, and organize information effectively.
- Ability to problem solve and take action on lower level decisions.
- Excellent written and verbal communication skills, with a professional and engaging approach, especially when communicating complex topics both internally and externally.
- Proficiency in Google Workspace (Docs, Sheets, Calendar) or similar productivity tools.
- Proactive problem solver with attention to detail and a collaborative mindset.
- Access to a personal computer with a stable internet connection capable of efficiently running the required tools and applications.
- Availability to work 9:00 AM to 5:00 PM Eastern Time, with some flexibility.
Nice to Have
- Experience with or interest in contributing to a company focused on women's well being.
- Familiarity with social media platforms, analytics tools, and CRM or tracking systems.
