Job Description

About the Role

As a Candidate Experience Specialist, you will be instrumental in shaping the entire journey of candidates at GitLab, from their initial contact all the way through the offer stage and transition to our People Operations team. This role acts as a vital partner to Recruiters, hiring managers, and recruiting leadership, ensuring hiring plans are executed flawlessly, interviews are coordinated efficiently, and processes remain accurate and transparent within our applicant tracking system and GitLab repositories.

You will serve as a brand ambassador, embodying GitLab's values in every single interaction, providing timely and thoughtful communication to candidates while maintaining a consistently high quality experience across a high volume of roles. Key focus areas include cultivating strong relationships with hiring teams, improving and standardizing coordination workflows, and supporting GitLab's commitment to building a qualified, diverse, and motivated team in our all-remote, global environment.

What You Will Do

  • Collaborate with Recruiters, hiring teams, and Recruiting leadership to understand and execute the hiring plan for each job requisition.
  • Coordinate with Recruiters to maintain accurate, up-to-date hiring process information within the applicant tracking system and GitLab repositories.
  • Manage candidate scheduling and operate as the Recruiting Coordinator to organize interviews and ensure hiring processes run smoothly.
  • Ensure candidates receive timely, thoughtful, and engaging communication at every stage of the hiring process.
  • Help manage candidate flow across all roles, monitoring pipelines and promptly flagging any issues or bottlenecks to the recruiting team.
  • Create and prepare employment contracts for candidates who receive offers on behalf of hiring managers and Recruiters.
  • Partner with People Operations to establish a seamless transition for new team members joining GitLab.
  • Act as a brand ambassador for GitLab's values, culture, and all-remote approach in every interaction.

What You Will Bring

  • Proven experience supporting end to end hiring processes in partnership with recruiters and hiring managers, ideally within a fast-paced or high-volume setting.
  • Proficiency in using an applicant tracking system to schedule, track, and advance candidates through interview stages. Greenhouse experience is beneficial but not mandatory.
  • Familiarity with Google Workspace, scheduling tools, and a proactive willingness to learn and implement additional technologies.
  • The ability to communicate clearly and professionally, both verbally and in writing, with candidates and internal stakeholders at all organizational levels, including executives.
  • Demonstrated strengths in organization, time management, and prioritization, consistently meeting deadlines while maintaining meticulous attention to detail.
  • A proven ability to build collaborative relationships with team members across various time zones and functions while upholding a high standard of confidentiality.
  • A genuine interest in learning about talent acquisition and contributing to an inclusive hiring process designed to attract a qualified, diverse, and motivated team.
  • Alignment with GitLab's core values and comfort operating in an all remote, asynchronous environment, which includes flexibility in working hours to accommodate candidates and hiring teams across multiple time zones, alongside an openness to applying transferable experience from related coordination or operations roles.

About the Team

The Candidate Experience team collaborates closely with Recruiters, hiring managers, and People Operations to ensure a hiring process that is smooth, consistent, and inclusive across GitLab's entirely remote, global organization. You will join a collaborative group responsible for coordinating interview logistics, managing candidate flow in our applicant tracking system, and supporting offer and onboarding handoffs so that both candidates and hiring teams benefit from a clear, well-organized experience at every step. This team operates asynchronously across time zones, utilizing GitLab and shared documentation to maintain alignment while managing a high volume of hiring needs. Our primary focus involves refining processes, maintaining precise data, and serving as brand ambassadors for GitLab's values in every single candidate interaction.
